Once you have decided to go ahead, we start the process with an Implementation Plan. This takes the form of a Requirement Scoping and Review of current processes. Once we are both happy with the plan we will move to a phase of software installation and training.
Requirement and Scoping Review
The requirement scoping and review phase is the start of a Jiwa implementation cycle.
Workshops are conducted with key business representatives in order to;
Understand current business processes
Identify areas for process improvements
Identify key reporting requirements
Confirm Jiwa key configuration settings
The outcomes of these workshops form the basis of a substantial document which will guide both you and us with the implementation.
Signing of the scope document signifies its acceptance and the start of the implementation and delivery phase.
Installation and Configuration
This phase of the project entails the implementation of Jiwa on your server and on to the individual workstations. The setup and configuration of the Jiwa database also commences at this time.
Two (2) Jiwa databases will be created;
Training database – this database is a replica of the production database and is used for all Jiwa training. The database will be available for further training / testing purposes
Production database – this is the live database and will only be made available to all users on go live day
The training database will be installed on the client’s server prior to the commencement of user training.
The production database will be installed on the client’s server upon completion of data conversion and associated reconciliations and prior to the agreed Go Live date.
Training in the key business processes (Debtors, Creditors and Stock) will be conducted prior to go live by a Jiwa Consultant.
After the first training session staff will have access to the training database.
A Jiwa consultant will be onsite to provide support and assistance on the milestone day.
Post Implementation Support and Training
All remaining training will be completed by your Jiwa Consultant. This phase of the project also signifies the transition to post implementation support where your Jiwa Consultant is available to provide ongoing support and assistance in transitioning staff from the legacy system to Jiwa.
This is the final phase of the project where the project is officially closed and the client transitioned to support.
